When I Work, found online at WhenIWork.com, is a new online and mobile employee scheduling program that describes themselves as “the easiest way to schedule and communicate with your hourly employees.”

How Does It Work?

As any supervisor or manager of hourly employees will tell you, often the most difficult part of the job is managing all your employees’ schedules and schedule changes. It is often not only a headache, but can truly affect your business if there are scheduling mistakes and problems which lead to your business being understaffed at any time.

To solve these problems, When I Work created a program that allows you to set your employees’ schedules in just minutes. The guided set up will walk you through adding employees, locations, and positions, or you can import them from an Excel spreadsheet or CSV file. 

Once your employees have been added, they will receive text messages and emails alerting them on how to use the system. All staff can stay connected to their schedules via text alerts, mobile apps, and email notifications.

If an employee has some reason for needing to change a shift, managers will be able to quickly find eligible employees to cover the shift by selecting the shift that needs to be filled, selecting the employees you want to offer it to, and clicking send. The first employee who responds and confirms their wish to take the shift will have it assigned to them. 

Cost/Price Plans

The pricing for this company’s services depends on how many employees you will be scheduling, what kinds of features you will require to meet your scheduling needs, and in what kind of increments you would like to pay for your services. 

The most affordable monthly package is designed to manage up to five employees for $9 per month, and goes all the way up to $99 per month to manage up to 100 employees. These prices are just for the basic employee scheduling feature, with some features added automatically the larger number of employees you are dealing with, including scheduling for multiple locations, shift acknowledgment, annotations, and more. If you would like to add additional features to your account, like the ability to track time and attendance, your monthly costs will be higher. 

Managers who would like to use their system to manage more than one hundred employees must contact them directly, in order to get a custom price, but regardless of what type of plan you will eventually sign up for, every customer will get a 30 day free trial of their services, no credit card required, to see how they work and how they can work for you. 

Refund Policy

Since this company offers a 30 day free trial of all their services, as well as the ability to pay for their services on a month-to-month basis, their website says that at this time their services and additional features are non-refundable. They do, however, give their customers the ability to change or upgrade their service at any time to better suit your needs or meet your budget.

Unfortunately at this time, they do not appear to offer a phone number where they can be reached. 


This program and mobile application appear to be very well liked and have many positive reviews online from customers who are happy about its simplicity, its versatility, and the amount of time and energy it can save managers.

And, since this company offers a 30 day free trial which doesn’t even require a credit card number, prospective customers can feel confident trying it for themselves and their needs to see if it truly meets your needs.

Since dealing with the scheduling of hourly employees can be such a difficult task for managers, these types of automatic scheduling tools have grown in popularity over the last few years, and include competitors like Deputy, ShiftPlanning, and many others.
